This policy explains how PVP Transport Consultancy collects, uses and protects personal information when you contact us or use our services.

Who is responsible for your information?

PVP Transport Consultancy Ltd is the controller of the personal information described in this policy. Questions or requests about your information can be made using the telephone number or email address shown on this page.

Information we collect

When you make an enquiry, request a consultation or become a client, we may collect:

  • Your name, company name, job title and contact details
  • Information about your fleet, operation and the support you require
  • Messages, correspondence, meeting notes and proposal details
  • Information and records needed to provide agreed consultancy services
  • Contract, invoice and payment records

The consultation form sends your details directly to PVP through a specialist form-delivery provider. PVP does not store consultation enquiries in a separate website database.

How and why we use it

We use personal information to:

  • Respond to enquiries and arrange consultations
  • Understand your requirements and prepare proposals
  • Enter into and deliver agreed consultancy services
  • Maintain appropriate client, compliance and financial records
  • Protect our legal rights and meet legal or regulatory obligations

Our lawful bases will normally be taking steps at your request before entering into a contract, performing a contract, complying with a legal obligation, or our legitimate interests in responding to business enquiries and operating and protecting the consultancy. Where another lawful basis is required, we will explain it at the relevant time.

Who we may share it with

We do not sell personal information. Where necessary, information may be shared with trusted providers supporting our form delivery, email, IT, website, document storage or professional services, and with regulators, public authorities or professional advisers where required by law or necessary to protect legal rights. We only share what is reasonably necessary.

If a service provider processes information outside the UK, we will use an approved safeguard where required by data-protection law.

Information handled for clients

Some consultancy work may require PVP to handle driver, employee or other operational records supplied by a client. Where PVP handles that information only on the client’s documented instructions, the client remains the controller and PVP acts as its processor under the agreed service arrangements. The client’s own privacy information explains how it uses those records.

How long we keep it

Enquiries that do not become client engagements will normally be deleted 12 months after the last contact. Client, contractual and financial records may be retained for up to six years after the end of the relevant relationship or accounting period where needed for tax, contractual, insurance or legal purposes.

Some compliance records may need to be kept for a different period because of the nature of the work or a legal requirement. We review information and do not keep it longer than reasonably necessary.

How we protect it

We use reasonable organisational and technical measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. Access is limited to those who need the information for a legitimate purpose.

Your rights

Depending on the circumstances, you may have the right to ask for access to your personal information, correction of inaccurate information, deletion, restriction of use, transfer of information, or to object to certain uses. You may also withdraw consent where consent is the lawful basis, although responding to an ordinary enquiry does not normally rely on consent.

PVP does not currently use advertising or analytics cookies on this website and does not use your information for automated decision-making or profiling. Essential technical measures may be used by the website platform to deliver and protect the site.
